How do I allow a student to resubmit after their submission has been finalised?

Occasionally, a student may mistakenly submit the wrong file or a file that cannot be opened. 

  • If the submission has not yet been finalised, then the student can simply remove the incorrect submission themselves and resubmit following this guidance: How to edit or replace your Coursework submission before the deadline.
  • If the submission has been finalised then Module Leaders have the option to Unfinalise the submission on the student’s behalf. Once the submission has been unfinalised, the student will be able to delete their first submission and upload the correct file.
  • If a student’s deadline has passed, Module Leaders may contact their Faculty Digital Media and eLearning Developer (DMeLD) who can assist in unfinalising and removing the submission so that the student can resubmit.

If grades have been released:
If the submission has been marked and grades have already been released, it’s not possible to remove a submission. Please submit a query/ticket to the project team if that happens: ALC query form

Identify the submission

A student may contact you to explain that they submitted the wrong file and request that it be removed. Since most Coursework activities are configured for anonymous submissions, you will first need to identify the correct submission.

  • Ask the student to provide their Submission Receipt, which they will have received by email when submitting their work. The receipt includes the file id (e.g. Xf89cc035), the name of the Coursework activity, and the date and time of submission.
  • Enter the file id into the Search: box. The page will refresh and the corresponding submission will show.

Note:

– If the Coursework dropbox has Turnitin enabled then students will also receive an email receipt which includes their Turnitin Paper ID. This can also be used to help you identify a submission.

– If the student cannot provide their file id or Turnitin Paper ID then please contact your Faculty Digital Media and eLearning Developer (DMeLD) for assistance in identifying the anonymous submission.

Unfinalise the submission

How you manage an incorrect or faulty submission depends on whether the student’s submission deadline has passed.

The standard deadline is listed at the top of the Coursework activity. If a student has an approved extension, the updated date appears in the Submission date column, labelled ‘Extension’.

A. If the student’s deadline has not passed

  1. Below the submitted file click Unfinalise.
  2. Once the page refreshes, you will see a grey pencil icon next to the file name which indicates that the student can now edit their submission.

Do NOT delete the submission on behalf of the student.

If a file submission is deleted by somebody other than the student, Turnitin retains the deleted submission against the dropbox which can lead to subsequent confusion/issues when marking.

  1. Contact the student to let them know that they can now remove their incorrect submission and resubmit. You may also wish to share the student guidance: How to edit or replace your Coursework submission before the deadline.

B. If the student’s deadline has passed

In Coursework settings, Allow late submissions is set to Yes by default; this allows students to submit after their deadline if there is no existing submission for that student.

Please email your Faculty Digital Media and eLearning Developer (DMeLD) and request removal of the student’s submission. In your email, please include:

  • The module run
  • The name of the assignment (where the student submitted their work)
  • The file id and\or the Turnitin Paper ID of the submission to be removed

Your Faculty DMeLD will remove the current submission (and, if Turnitin is enabled, ensure it is also removed from the Turnitin database).
