How do I flag a submission for academic conduct/refer it to SIRT?

If you become aware of a potential breach of the Academic Conduct regulations, please complete the following steps:

Step 1. Flag the submission in the assessment submission dropbox:

To flag a submission for plagiarism:

  1. Go to the settings of the Coursework dropbox.
  2. Navigate to the ‘Submissions’ section.
  3. Ensure ‘Enable Academic Conduct Issues’ is set to Yes.
  4. Return to the submission dropbox, locate the assessment you wish to flag under the ‘Academic Conduct Issues’ column and click ‘Add Issue’.
  5. A new window will open, select the Initial Investigation (marks will be withheld) status, add any relevant comments, and then click Save.

  1. Click OK in the window when it confirms the ‘Academic conduct issue saved’.
  2. Click Close to return to the Coursework dropbox.

Step 2. Use ‘Switch role to…’ to un-mask the student names:

If your Coursework activity has blind marking enabled, student names will appear as ‘hidden’. Therefore, in order to identify a student’s submission for your referral form you will need to first switch into a role that has permission to view students’ names temporarily.

  1. Go to the Coursework dropbox.
  2. Click your initials or profile photo from the top right corner of Moodle.
  3. Click Switch role to…
  4. In ‘Switch role to..’ scroll to the bottom of the list of roles and choose Coursework Un-Mask Names.
  5. This will allow you to temporarily reveal student identities and make note of the student’s name and submission ID for the referral form.
  6. To return to your normal role, click your initials or profile photo from the top right corner of Moodle. (Note: the type of role you have temporarily switched into will appear in this corner as well in this case ‘Coursework Un-Mask Names’.)
  7. Click Return to my normal role.

Note: You can not change or edit the activity settings, add any additional flags, nor can you change or edit marks and feedback with this role.

Step 3. Complete the Academic Conduct Referral form:

Complete the Academic Conduct Referral Form in ServiceNow.

The form will be sent to the Student Investigation and Resolution Team (SIRT). 

Step 4. After you receive a response from SIRT:

Once SIRT has completed its investigation, you must clear the Moodle flag before the student’s mark can be released.

  1. Return to the Coursework submission dropbox.
  2. Locate the flagged submission.
  3. Under the Academic Conduct Issues column, click the pencil icon next to Initial Investigation (marks will be withheld).

  1. In the window that opens, select the outcome provided by SIRT and then click Save:
    • Cleared by SIRT (marks will be released)​: Select this once SIRT has completed its investigation and the Moodle flag can be removed. Note: This does not necessarily mean the student was found not to have committed academic misconduct; it simply indicates that the investigation has concluded and the mark can now be released.
    • Cleared ​- NFA (marks will be released)​: Select this if SIRT has confirmed that No Further Action (NFA) is required.
  2. Click OK in the window when it confirms the ‘Academic conduct issue saved’.
  3. Click Close to return to the Coursework dropbox.

Note: In most cases, you will receive SIRT’s decision before you need to transfer (queue) marks to Banner, allowing you to update the student’s mark if necessary. If you have not received a decision by then, select Deferred Disciplinary​ in the comments dropdown under the Grade Reason column.
